Handle payment processing such as PR, PO, and GR for company expenses in 3 different locations; work closely with
Senior Manager and Accounting team to follow up with invoices and payment process daily.
• Office & canteen maintenance: manage office supplies (stationery, printer consumables, etc.), office assets and facilities; developing, implementing, and improving office policies and procedures; supervise and follow up on canteen performance (hygiene, food quantity, menu, set up, facilities, etc.).
• Search, propose and monitor contracts, payment, and service quality with vendors/service providers for all services, facilities, and solutions to the company’s use.
• Coordinate with HR to apply for immigration permits (entry/exit visa and visa extension), work permits, and resident cards required for foreign employees.

activities in organizing happy hour events and coordinating for TU profit program for employees. Support company’s events and celebrations (Town Hall, training, etc.).
• Support department travel arrangements: itineraries, flight tickets, accommodation bookings, transportations booking.
• Assist in other business operations: automobile and travel insurance; support MKT department in handling insurance claims; arranging meals for OT workers and visitors.
 

Business Support Intern - CPA Australia - Jun 2022 – Dec 2022

Maintain and update departmental record and tracking systems ensuring accuracy and validity of information; retrieve information from systems when needed.
• Manage procurement for office operations incl., supplier setup, vendor contracts, payment, etc.
• Prepare payment requests, purchase orders, and scan invoices. Assist accounts payable in obtaining and providing the necessary documents for the office’s payment.
• Front office duties:
- Manage incoming calls, emails (Outlook), and field enquiries, resolve end-user issues with the company’s educational services and escalate to senior team members when necessary following SOP.
- Manage receipt and distribution of incoming mail and couriers to reach the addressees timely and accurate.
- Welcome company visitors courteously and professionally and contact relevant parties to receive them without delay.
• Member service: monitor and resolve member service issues, produce comprehensive reports weekly, providing ideas and insights on how to improve the whole process and member experience.
• Support in organizing internal and external events (outsourced agencies, attendees list, invitation letters, RSVP, materials, agenda, entertainment, etc.): budgets ranging from $800 to $12,000, events with 25 to 200 attendees, and attendees of professionally diverse groups, led to 100% event success.
• Work with the MKT department for promotion approvals, final artworks, etc., and local vendors for promotional items production (banners, standees, backdrop, brochures, etc.) including quotations, contracts, etc.
• Translate, proofread, and arrange external translation of a variety of material, particularly formal legal, admin and marketing documents, prepared by other employees and contractors, from Vietnamese into English and vice versa
